Privacy Policy
Effective July 7, 2026
This policy explains what personal information MeetCrew collects, why, how we protect it, and the choices and rights you have. It covers our website, our sales and pilot processes, and the MeetCrew service — an AI meeting participant that joins Microsoft Teams, Zoom, Webex, and Google Meet as a named participant with an animated avatar and synthesized voice, carries persistent cross-meeting memory, and fronts a third-party chat agent the customer supplies and controls. Who we are and the roles we play
MeetCrew is operated by No Compromise AI, LLC ("MeetCrew," "we," "us"), a Delaware limited liability company built on Microsoft Azure and .NET. Our role depends on the data.
When a teammate joins a meeting and handles meeting content for a customer — transcripts, extractions, and the memory the customer configures — MeetCrew acts as a processor and the customer is the controller. We process that content on the customer's documented instructions under our Data Processing Agreement. The customer also supplies the AI reasoning: MeetCrew fronts a chat agent the customer runs, and does not provide or control that agent.
When we handle information for our own business — sales and contact data, website analytics, and technical logs — MeetCrew acts as a controller. This policy describes those practices in detail; for processor activities, the controlling customer's own notice governs.
Information we collect, and where it comes from
Contact and business information (we are the controller). When you request a demo, apply for a pilot, or contact us, we collect what you provide — typically your name, work email, company, and your message.
Meeting participation data (we are usually the processor). When a customer authorizes a teammate to join a meeting, the Service processes transcripts of the spoken meeting, structured extractions derived from it (topics, decisions, action items, open questions, and commitments), and participant platform identities (email and display name drawn from Microsoft Entra for participants in the customer's tenant). This data is almost always processed on a customer's behalf; where it is, the customer is the controller and we route individual requests to them.
Usage and technical data (we are the controller). We collect privacy-preserving, cookieless analytics about how our website and product are used, and standard technical and log data such as event, error, and security telemetry.
How and why we use it
We use contact information to respond to your request, run demos and pilots, communicate about the Service, and keep records. We use meeting participation data only to provide the Service as the customer configured it — placing the teammate in the meeting, producing transcripts and extractions, maintaining memory, and passing content to the customer's own chat agent for a response. We use usage and technical data to operate, secure, debug, and improve the Service and to prevent abuse.
Two commitments hold across every category: we do not sell personal information and we do not share it for cross-context behavioral advertising; and we do not use customer meeting content to train any model — ours or anyone else's.
No voiceprints and no voice biometrics
This is a deliberate design choice. MeetCrew does not generate, derive, or store voiceprints, speaker-embedding vectors, or any other voice-derived biometric identifier, and it does not use voice characteristics to recognize individuals. When a teammate recognizes the same person across meetings, it uses Microsoft Entra platform identity — email and display name — and never voice. This is one reason we geo-fence Illinois out of the Service in v1.
The anonymous-speaker model
A teammate can take part without attributing statements to a named person. Speakers who do not have a durable platform identity are treated as anonymous and labeled generically (for example, "Speaker 1"). In v1, named attribution is off by default; where a customer enables it, it relies on Microsoft Entra platform identity, not on any voice analysis.
Sharing and subprocessors
We do not sell personal information and do not share it for advertising. We share data only with the infrastructure and connectivity providers that help us run the Service, each processing on our instructions under contract: Microsoft Azure (compute, storage, key management); Azure OpenAI (in-region inference); Azure AI Search (the semantic index that supports memory); Azure Blob Storage (raw transcripts) and Azure SQL (structured data); and meeting-connectivity providers that place the named participant into a Teams, Zoom, Webex, or Google Meet meeting in v1.
A current list of subprocessors, including the meeting-connectivity provider, is available on request at privacy@meetcrew.ai. We may also disclose information where legally required, or to protect our rights, our users, or the public.
Where the Service is offered
In v1, MeetCrew is offered only in the United States, excluding the State of Illinois, and in Canada. The European Union, the United Kingdom, and Illinois are geo-fenced out, and the Service is not offered there in v1. If you are in a region where the Service is not offered, please do not attempt to use it.
Data residency, retention, and shredding
Each deployment is pinned to a single region, and we do not replicate customer data across regions. Customer data is retained per the customer's configuration, up to the applicable statutory ceiling for the deployment's jurisdiction. When a retention period ends, records are cryptographically shredded — the keys that protect them are destroyed, rendering the data unrecoverable. Contact and technical data we hold as a controller is kept only as long as needed or as the law requires.
How we protect information
Security is enforced structurally. Each MeetCrew tenant maps one-to-one to a single Microsoft Entra tenant, and tenants are hard-isolated. Access is governed through Microsoft Entra. Deployments support customer-managed encryption keys, and exports are double-wrapped with a tenant key and a recipient key. Administrative and teammate actions are written to a tamper-evident, hash-chained audit log re-verified nightly, and synthesized speech is watermarked. No program eliminates all risk, but these controls are designed to make unauthorized access difficult and any tampering evident. MeetCrew is not yet SOC 2 certified; certification is on our roadmap. Your rights and how to exercise them
Depending on where you live, you may have rights to access, correct, delete, and receive a copy of the personal information we hold about you, and the right not to be discriminated against for exercising them. For information we hold as a controller, email privacy@meetcrew.ai; we will verify and respond within the time the applicable law allows.
Where the information was processed on a customer's behalf — most meeting participation data — MeetCrew is the processor and the customer is the controller. We will route your request to that customer and assist them as our Data Processing Agreement requires.
When a deletion request is carried out, MeetCrew removes the individual from the memory a teammate can query and search — their name is regenerated out of the structured records and the semantic index, not merely hidden, and a durable marker prevents a later re-extraction from reintroducing it. The raw source transcript is retained as a bounded, non-queryable record and is deleted when the request asks for it.
Automated decision-making
MeetCrew does not use your personal information to make decisions producing legal or similarly significant effects about you without human involvement. A teammate's conversational responses are generated by the customer's own chat agent, which the customer controls; MeetCrew supplies the meeting presence, not the reasoning.
Cookies and analytics
Our website stores a single preference in your browser — whether you chose the light or dark theme. We use privacy-preserving, cookieless analytics that do not track you across sites, and we do not use advertising cookies.
Children
MeetCrew is a business product for organizations and their personnel. It is not directed to, and we do not knowingly collect personal information from, anyone under 18.
